USHJA Zone Committee Election Process and Timeline


May 23, 2008

Ballots and biographies are mailed to the last known address of all Individual Active or Associate Senior Hunter or Jumper members eligible to vote, as applicable, in the Zone.  Voting will be by secret ballot.  The election materials will consist of the following:

The outer envelope will bear the address of the USHJA office with the words “Hunter or Jumper Zone Election Ballot” as applicable, marked plainly thereon.

A ballot containing the names of eligible candidates for the zone committee along with the last day those ballots may be received or postmarked in order to be counted.

A biographical statement provided by each candidate.

The attendance record for zone committee meetings of each incumbent.

A plain unmarked envelope that once sealed will protect the confidentiality of the vote.

A return envelope addressed to the USHJA office.  This envelope will have a space in the upper left hand corner for the typed or printed name and return address of the member and shall have the word “ballot” and the name of the zone appearing on its face.  Hunter committee return envelopes are green, while jumper committee envelopes are blue.

This same election material will be mailed to any eligible zone member who has not received his or her ballot by mail and who requests the same.  All ballots which are properly marked and completed and which are received in envelopes from eligible zone members at the USHJA office prior to the close of business on the last day of the election shall have the date and time of receipt noted thereon.  These ballots will be checked against the list of eligible voters in the zone and will be counted by the USHJA staff.  Any candidate may attend the opening and counting of the ballots at his/her own expense, providing he/she contacts the USHJA office on or before June 30th of an election year to make arrangements.  Such arrangements will be at the convenience of the USHJA office and staff.

Deadline postmark date for all election ballots to be counted.

August 1, 2008

The USHJA office will notify each newly elected zone committee member of his or her election by mail following the finalization of the election results.  Enclosed within the notice will be the date and time of a conference call meeting of the newly elected zone committee.

August 2008

A meeting of each newly elected zone committee will be held to review the composition of the committee to ensure representation is in accordance with USHJA Bylaws.  Adding additional members to the committee and election of a Chairman, Vice-Chairman and Treasurer shall be in accordance with USHJA Bylaws. 

September 15, 2008

Newly elected zone committees take office.

OTHER ZONE NEWS

Zone 9 will be having an Open Forum to discuss the 2009 Zone Spec changes, Friday, June 20, 2008 at the Early Summer Hunter & Jumper Classic #2 in Wilsonville, OR. The forum will take place after the show.

Want to be considered for a 2008 Zone Young Rider/Junior Show Jumping Team?

Athletes wishing to be considered for a 2008 Zone Young Rider/Junior Show Jumping Team must complete an application and return it with an application fee to the United States Hunter Jumper Association (USHJA), Attn: Claudia Meeks, Zone Coordinator, at USHJA, 4047 Iron Works Parkway, Lexington, KY 40511, (859)825-6010, fax (859)258-9033 or email cmeeks@ushja.org.

Applications and fees postmarked, hand-delivered, or faxed after Tuesday May 20, 2008 and received by USHJA on or before Tuesday June 17, 2008 will be charged an application fee of $150 per application.  However, NO applications shall be accepted unless received on or before Tuesday June 17, 2008. In the event an application is received without the appropriate application fee, those applications shall be accepted only if the appropriate application fee is received by Friday June 20, 2008.
